Data protection by using AIP software

1. RPG Supervisors and RPG students may elect to make use of AIP (Azure Information Protection) to encrypt and protect the restricted and confidential works in their research-related activities and email/file communications.

2. For students, if you are going to use AIP, you are required by Microsoft to login MS Office by the domain name of @connect.hku.hk

Because of this requirement, and in this connection, there are 2 groups of students at the University:

a. For students first admitted into the University on or before June 30, 2018, you should have received TWO login ID’s of the following tenants respectively.

  • Connect tenant:

    • Domain name of @connect.hku.hk
    • For the use of HKU email services
    • For the use of Azure Information Protection (AIP) software
  • MSSA tenant:

    • Domain name of @hkumssa.onmicrosoft.com
    • For the use of MSSA license of Microsoft Office

b. Whereas for students first admitted into the University on or after July 1, 2018, you should have received only ONE login ID’s.

  • Connect tenant:

    • Domain name of @connect.hku.hk
    • For the use of HKU email services
    • For the use of Azure Information Protection (AIP) software

3. For Group [b] students, good news, you can use AIP in a more straight-forward way.

4. For Group [a] students, you have to pay additional attentions on the following. Since you may have already used MSSA tenant to work with your MS Office files, if you use both MSSA tenant and Connect tenant, there are high chances that you will lose your files when switching between these two tenants.

In order to avoid this happening, it is a must necessity that, before using AIP, you migrate the data and files from MSSA tenant to Connect tenant. After the data migration, you should keep using ONLY the Connect account for MS Office, HKU IT services and AIP software.

5. To migrate data and files from MSSA tenants into Connect account, please visit the following ITS webpage for “Data migration from MSSA tenant to Connect tenant”:

6. After you have verified all files and data have been migrated, please send an email to ithelp@hku.hk. ITS will terminate your MSSA tenant after receiving your email. This will safeguard you from unintentional tenant allocation of files and file losing.

7. AIP feature – “Do Not Forward” helps email communications from being unauthorised forwarding. To enjoy this feature, RPG Students are advised to use Outlook client. Please visit the following webpage for how to configure Outlook in Windows with the Connect tenant:
